How much does process automation cost?

The cost of process automation depends on the specific process, systems, exceptions, and required operations. The return is also affected by the volume of work, hourly costs, the cost of an error, and future maintenance. Before development, it is therefore worth preparing an estimate with clear assumptions and comparing it with actual operations later.

What is the problem?

A company asks “how much does it cost?” and gets the answer “it depends”. This sounds evasive, but it is the heart of the matter: the same “invoice robot” may require two days of work or two weeks, depending on how many exceptions the process has, how many systems it crosses, and how the robot signs in.

The development price may be joined by platform licences, a server, monitoring, support, and time spent handling exceptions. If a proposal does not separate these items, the return-on-investment comparison is incomplete.

What makes up the cost, and when does it pay for itself?

The price is driven mainly by process complexity: the number of steps and systems, the number of exceptions, and the sign-in method. A simple transfer between two stable sources will generally require less work than a robot that moves through several portals with multi-factor authentication.

The basis of the estimate is time per case × number of cases × labour cost. Then subtract the time that will remain for review and exceptions after automation, and add development, operations, and maintenance. A task performed rarely may pay off only if an error is exceptionally expensive or it creates another measurable benefit.

This is why we do not automate every process. If it runs rarely, changes every month, or can be solved directly through an API or export, we say so immediately: the less expensive route is the better route.

For a suitable process, open-source or self-hosted tools can reduce platform fees. Before choosing, however, we verify the licence of every component and include administration costs.
